Receptionist
Purpose of Position
JFC Group is currently seeking a receptionist for their head office in Tuam, Co. Galway. This front of house role will be the first point of contact for visitors, customer and staff, providing a professional and welcoming experience. This role is responsible for managing incoming calls, maintaining the reception area and supporting administrative tasks
Key duties and Responsibilities
- Answer and direct incoming telephone calls promptly and efficiently
- Greet and welcome visitors, clients and staff in a courteous and professional manner
- Ensure that security and visitor sign-in procedures are followed.
- Responsible for maintaining the companies transport log for all contractor HGV vehicles on site.
- Responsible for Verify accuracy of all receipts related to credit card payments
- Receive, sort, and distribute post and deliveries to relevant departments.
- Carry out general administrative tasks across various departments.
- Organise travel arrangements for Managing Director, including flights, accommodation and car hire
- Provide cross-departmental support as required.
- Ensure timely processing of Proof of Delivery (POD) and invoice requests on a daily basis.
Desired Skills and Experience
- Minimum 1-2 years’ experience in a receptionist role essential
- Previous experience in an administrative, or office support role is desirable
- Relevant qualification in Office administration or similar qualification is advantageous.
- Ability to handle phone calls professionally and interact with visitors, clients, and colleagues in a courteous manner, in a busy environment
- Must be fluent in English, demonstrated by excellent verbal and written skills
- Customer Service focused with a friendly and approachable demeanour and strong interpersonal skills to make a positive first impression.
- Attention to Detail is essential ensuring accurate processing of receipts, invoices, and travel bookings.
- Excellent Organizational Skills and ability to multitask, must be able to prioritize and complete various administrative tasks across departments simultaneously.
- Competent with office software (e.g., Microsoft Office Suite, email systems) and any relevant booking or finance systems
- Confidentiality and professionalism is key for this role when dealing with any sensitive information or documentation
- Excellent Time Management skills
- A team player with the ability to work off your own initiative is essential.
